This guide provides detailed instructions for creating a new Virtual Machine (VM) by cloning an existing one through Wowrack support, configuring it appropriately, and setting up local administrator access for the end user. This ensures new hires receive pre-configured and secure virtual workspaces that align with company standards.
Process Description:
The objective of this process is to efficiently create a new VM by cloning an existing template, renaming and configuring it for a new user, and assigning local administrator permissions. This process ensures that the new VM is functional, secure, and accessible to the intended user.
Prerequisites:
- Access to your organization’s Wowrack support system
- An existing VM to clone
- A new hire or user account associated with a new hire ticket
- Admin credentials to modify and access VM settings
- Access to the Public drive, IT folder, and RDapp folder
Gathering Materials/Resources:
- New hire ticket with the correct user information
- Example email template for Wowrack request
- Remote Desktop Connection client
- Access to the file path containing existing VMs:
Public > IT > RDapp
Step-by-Step Instructions:
VM Cloning via Wowrack
- Open a support ticket with Wowrack requesting a VM clone.
- Use the following email format:
Please clone (VM NAME) and create (NEW VM NAME). - Wait for confirmation that Wowrack has completed the VM creation.
Copy and Configure the New VM
- Once complete, navigate to the Public drive on your VM.
- Open the IT folder, then the RDapp folder.
- Right-click any existing VM and select Copy.
- Paste the copied VM inside the same folder.
- Right-click the copied VM and choose Rename.
- Rename it to the new VM name provided in the Wowrack request.
Edit VM Settings
- Right-click the new VM and select Edit.
- Update the Computer Name to match the new VM name.
- Update the Username field (e.g.,
cprsonline\username). - Check the box: Allow me to save credentials.
- Click Save.
Add User as Local Administrator
- On your VM, open Remote Desktop Connection.
- Enter the VM name and click Show Options.
- Enter your Admin account username and connect.
- Log in using your admin credentials.
- Go to Start Menu → Windows Administrative Tools → Computer Management.
- Navigate to:
Local Users and Groups > Groups > Administrators - Double-click the Administrators group.
- Click Add, enter the new user’s name, and click Check Names.
- Click OK, then Apply, then OK again.
Send VM Shortcut to User
- Create a shortcut to the new VM file.
- Email the shortcut to the user’s CPRS email address.
